Sign in as Principal or Administrator.
Open 'After Schools' - 'Schools' (Figure 1).
In the context menu of the specific school, click 'Sign Up URL' button.
There are next fields in the opened 'Sign Up URL' window (Figure 2):
'New Sign Up URL': A link for Teachers, Students, and Parents to sign up as a school user.
'Sign Up to Programs': A link for Parents to sign up a child for After School Programs.
Full Name: The name of the school.
The After School URL can be copied and shared with the Parents to register their children to the After School Program.
The Sign-Up Flow consists of 7 steps for Parents who have never registered their Child for the Programs and do not have a Lummio account. Parents must complete Step 1 to gain access to Lummio. After completing Step 1, the Parent will be automatically signed into Lummio, where they can complete the remaining steps in any order.
The Parent receives the link shared by the School Administration and follows it to register their child for the After School Programs. The Parent Sign-Up page opens (Figure 3).
If the Parent already has an account, they can click on the "Log in" button to open the Sign-In page.
If the Parent doesn't have an account, they should fill out the Sign-Up form and submit it to proceed. The First Name, Last Name, Email, and Phone fields are essential for processing the registration, so these fields are required to proceed to the next page.
Once the 'Continue' button is clicked, a new Parent's account will be created in Lummio. The Parent will be automatically signed into Lummio, where the next step of the registration form will be opened. Additionally, the Parent will receive a 'Welcome to Lummio' email with the Sign-In details.
After signing in to Lummio, the Parent will see the After School Programs page (Figure 4), which consists of the following components:
Progress Bar: Indicates the progress of completed steps compared to the total steps.
Onboarding Checklist: Displays the titles of steps that need to be completed to submit the registration form.
Form Specific to the Opened Onboarding Checklist Item: Displays the form to be filled out depending on the step selected in the Onboarding Checklist.
Additional notes about the After School Programs page:
The After School Programs page always opens on the first uncompleted step from the Onboarding Checklist.
Upon first opening, only Care Programs are available on the Program step. Enrichment Programs become available for sign up only if at least one registration to Care Program has been completed.
Until the Parent completes at least one Child registration, all pages that they can open by clicking on the UI components (Sandwich Icon, Notifications, Profile) are disabled. Any Lummio link will always open the first uncompleted step from the Onboarding Checklist.
Each Onboarding Checklist item can be filled out in any order. Every item is clickable and allows the user to navigate to the specific step.
The 'Program' Onboarding Checklist Item includes the form with following fields:
School: The School in which the Program will be conducted. This field is pre-filled as the Sign Up URL contains the information about the school.
Session: Linked to the School field and allows selection of the specific Session related to the School.
Program: Linked to the Session field and allows selection of the specific Program related to the Session. During first registration only Care Programs are available.
Billing Period: Linked to the Program and allows selection of the specific Billing Period that is related to the Program.
Total: Total cost the parent will be charged for the selected Program.
After filling out all fields and clicking the Submit button, the step is marked as completed in the Onboarding Checklist, and the Progress Bar increments to show the count of completed steps. The next step is then opened.
The Parent must provide their Child's First Name, Last Name, Gender, Date of Birth, Grade, and Teacher's Name in the Child form (Figure 5).
After filling out all fields and clicking the Submit button, the step is marked as completed in the Onboarding Checklist, and the Progress Bar increments to show the count of completed steps. The next step is then opened.
On the Payment form (Figure 6), the Parent can verify the information entered on the previous steps (School, Session, Program, Child, Total) and click 'Pay'.
When click "Pay," the Parent will be directed to the Checkout page (Figure 7) to complete the transaction. The Payment system will track the payment details including the Program Name, Child Name, Total Price, and Billing Type (subscription, upfront).
All payments will be processed by Payment Gateway.
After the payment is completed and confirmed by the Payment system, the step is marked as completed in the Onboarding Checklist, and the Progress Bar increments to show the count of completed steps. The next step is then opened.
The Parent / Guardian's Information form (Figure 8) will always be opened with the Parent's info recorded during the Parent Sign Up. Any missed required fields are outlined in red for easy identification.
To input any missed information, click the 'Edit' button in the respective row. Then, fill in the required information in the 'Edit Parent/Guardian's Information' window (Figure 9).
To add one more Parent, click Add button and fill out required details in the 'Add Parent / Guardian's Information' window.
After filling out all fields for at least one Parent or Guardian and clicking the Submit button, the step is marked as completed in the Onboarding Checklist, and the Progress Bar increments to show the count of completed steps.
To add an Additional Authorized Pickup on the form (Figure 10), click the 'Add' button and fill out the required details in the 'Add Additional Authorized Pickup' window (Figure 11).
Choosing the 'Other' value in the 'Relationship' field adds one more field to be filled out - 'Other Relationship'. This is a free-text field for cases where the appropriate relationship hasn't been pre-created.
After filling out all fields for at least one Additional Authorized Pickup and clicking the Submit button, the step is marked as completed in the Onboarding Checklist, and the Progress Bar increments to show the count of completed steps.
Medical Information form (Figure 12) comprises three main blocks: Medical information, Caregiver Information, Minor Medical Consent. To complete the form, all required fields of all three blocks should be filled out.
Choosing 'Yes' in the 'Any Medical or Special Needs' and 'Any Allergies or Dietary Restrictions' fields within the Medical Information block prompts additional fields to provide specific details regarding these conditions.
If Parent chooses 'Other' as the value in the 'Relationship' field within the Caregiver Information block, an additional field will appear for entering the 'Other Relationship'. This allows for free-text entry in cases where the appropriate relationship option hasn't been pre-defined.
Before the Parent can submit the form, they must sign the consent by typing their full name as specified during Parent Sign Up - First Name followed by Last Name.
After filling out all fields and clicking the Submit button, the step is marked as completed in the Onboarding Checklist, and the Progress Bar increments to show the count of completed steps. The next step is then opened.
In the Success window (Figure 13), Parent can find information about the Program added by the Administrator, along with buttons indicating how to proceed with the next steps.
After the first successful registration, all pages of Lummio become accessible to the Parent. Additionally, the Parent can now sign up their Child for Enrichment Programs.
Clicking the 'Register Another Child' button opens the 'Program' form. The 'Parent / Guardian's Information' and 'Additional Authorized Pickup' forms are automatically filled with information from the previous registration. Parents can add another Child and sign them up for the selected program.
Clicking the 'Register Child for another Program' button opens the 'Program' form. The 'Child', 'Parent / Guardian's Information', and 'Additional Authorized Pickup' forms are automatically filled with information from the previous Registration. Parents can then sign up their Child for the selected Program.
Clicking the 'Go to Dashboard' button redirects the Parent to the Children page.
