Workspace Templates

Overview

Workspace Templates allow Super Admins to create standardized configurations that can be reused when setting up new schools or organisations. These templates help ensure consistency, reduce manual setup, and speed up onboarding.

Using a Workspace Template, users can generate a new instance that is automatically preconfigured with predefined settings, modules, and roles.

What Is a Workspace Template?

A Workspace Template is a high-level configuration that defines the default structure and behavior of a new instance.

Each template includes:
- Settings
General and workspace-level settings applied to the instance.
- Modules
A predefined set of workspace modules that are enabled or disabled.
- Roles and Permissions (ACL Manager)
User roles and their associated permissions.

Use Cases

Workspace Templates can be used to create standardized environments for different types of organizations on the platform, such as:
- After-School Program
- Private School
- Public School
- Online Courses
- STEM Center
- Tutoring Center , etc.

Template Fields

Each Workspace Template includes the following fields:
- Title
The name of the template.
- Description
A brief explanation of the template’s purpose and use case.
- Image / Icon
A visual identifier displayed on the template preview card.
- Tags
Keywords used for categorization and search (e.g., Education, STEM, Online, After-School).
- Video (optional)
An onboarding or promotional video that the user can view when selecting a template to create a workspace.

Workspace Templates ensure a faster, more consistent, and error-free onboarding experience.
Users are able to:
- Select a Workspace Template.
- Automatically generate a new school or company instance.
- Start with all default settings, modules, and roles preloaded from the selected template.

How to Add a New Workspace Template

  1. Navigate to Admin --> Workspace Templates in the panel menu on the left.
  2. Click Add in the top-right corner of the page.
  3. Fill in the fields in the form:
    - title
    - description
    - image
    - video URL
    - tags
  4. Click "Submit".
  5. After all fields are filled in, the template changes its status to "Draft".

How to Configure a New Workspace Template

Once the new template appears in the template list with the status "Draft", click the context menu on the right and further configure the template by selecting:
- Settings:

How to Activate a New Workspace Template

  1. Make sure that a default User Type (Owner Role) has been created and at least one additional User Type has been added.
  2. After completing all configurations, the template can be activated. Click the context menu to the right of the draft template and select "Activate".
  3. Each active workspace template can be duplicated, edited or moved to drafts by clicking the context menu on the right of the respective template and choosing the required action.
  4. Confirm the action by clicking "OK".

How to Archive/Restore a Workspace Template

  1. Click the context menu button to the right of the workspace template and select "Archive".
  2. Confirm the action by clicking "OK".
  3. To restore an archived workspace template, click the "Archive" button at the top right of the page.
  4. Find the required template and click the "Restore" button on the right.
  5. Confirm the action by clicking "OK".

Managing Tags

Tags are the keywords used for categorization and search (e.g., STEM, Online, After-School, etc.)

Tags can be selected while creating a New Worskspace Template.

Adding New Tags

  1. Navigate to Admin -> Workspace Templates.
  2. Click the "Manage Tags" button in the top right corner of the page.
  3. Click the "Add" button.
  4. Insert caption.
  5. Click "Submit".
  6. Now the tag is available for being selected while creating a new workspace template.
