Connecting a Merchant Account

A merchant account is the school's account with a payment gateway, through which payers pay invoices. Stripe, LiqPay and bank transfer are supported. The default account is filled in first on a new sale.

⚠️ The "Provider" list shows only the gateways enabled for your workspace in the modules. If the gateway you need is missing, contact the platform's support team.

⚠️ Keys are stored encrypted and are never shown again. When editing, leave a key field blank to keep the stored value.

Steps

  1. Open "Billing" → "Merchant Accounts" and click "Add Merchant Account".
  2. In the "Name" field, enter a name staff will recognise the account by, for example "Main bank account".
  3. In the "Provider" field, select the gateway. Under "Supports" you can see what the selected gateway can do: online payment, webhook, saved cards, auto charge, key verification. Bank transfer supports payment instructions only.
  4. Fill in the credentials for the selected gateway:
    • Stripe: "Secret Key" (starts with sk_live_ or sk_test_). "Publishable Key" is optional.
    • LiqPay: the keys from your LiqPay account. No webhook setup is needed.
    • Bank transfer: beneficiary, bank, IBAN or account number, SWIFT/BIC, tax ID and payment purpose template. The payer sees these details instead of a pay button, and staff confirm the payment manually on the invoice.
  5. Click "Add Merchant Account". If the keys are wrong, the dialog shows a message from the gateway.
  6. Stripe only: click Actions in the account's row and select "Webhook". Follow the steps in the "How to Set Up" block: copy the "Webhook URL", add a destination with it in the Stripe Dashboard (Developers > Webhooks) with the listed events, paste the resulting "Webhook Signing Secret" (starts with whsec_) and click "Save". Without this, the platform will not know about payments made through Stripe.
  7. For the account to be filled in automatically on new sales, click Actions in its row and select "Set As Default". Only one account can be the default.
  8. Check the result: the account appears in the list with the "Active" status. The "Account" column shows masked details, and "Supports" shows the gateway's capabilities.

Managing a Merchant Account

⚠️ An account already used by invoices, subscriptions or saved cards cannot be removed — only disabled. A disabled account is not offered on new sales, and invoices already issued through it can still be paid as before.

Steps

  1. In the merchant accounts list, click Actions in the account's row.
  2. Select the action you need:
    • "Edit" — changes the name or keys.
    • "Verify Credentials" — checks the keys and shows the gateway's response.
    • "Webhook" — Stripe webhook setup (see above).
    • "Set As Default" — the account will be filled in first on new sales.
    • "Disable" / "Enable" — a disabled account gets the "Disabled" status and is not offered on new sales; existing invoices are not affected.
    • "Remove" — the account and its keys are removed permanently. Available only if the account has not been used yet.
  3. Confirm the action in the dialog with "Disable Merchant Account" or "Remove Merchant Account". Other actions run without confirmation.
